Invitation for Expression of Interest

IAIDI is a non-profit organization implementing humanitarian and development programmes across Nigeria. To support its operations and ensure the availability of quality office infrastructure, the organization invites qualified suppliers, distributors, manufacturers, and service providers to submit Expressions of Interest (EOI) for the supply, delivery, installation, and maintenance of office furniture, equipment, and accessories.

The purpose of this EOI is to identify and prequalify competent vendors for inclusion in the organization's approved supplier database. 

1. Scope of Supply

Interested vendors may apply for one or more of the following categories:

Lot 1: Office Furniture

• Executive office desks
• Workstations and office tables
• Office chairs (executive, managerial, and staff chairs)
• Visitor chairs
• Conference and meeting tables
• Filing cabinets
• Office partitions and cubicles

Lot 2: Office Equipment

• Desktop computers
• Laptop computers
• Printers and photocopiers
• Scanners
• Projectors and projection screens
• Shredders
• Laminating machines
• Binding machines
• Telephones and communication devices
• Uninterruptible Power Supply (UPS) units
• Power extension units

Lot 3: Office Accessories and Consumables

• Whiteboards and noticeboards
• Flip charts and stands
• Desk organizers
• Waste bins
• Stationery holders
• Wall clocks
• Office signage
• Name tags and desk plates
• Filing accessories
• Computer accessories (keyboard, mouse, webcam, speakers, headsets) 

Lot 4: Meeting and Conference Equipment

• Public address systems
• Microphones and speakers
• Video conferencing equipment
• Display screens and monitors
• Portable presentation equipment

Lot 5: Installation, Repair, and Maintenance Services

• Furniture installation
• Office furniture repair and refurbishment
• Equipment servicing and maintenance
• Printer and photocopier maintenance
• Installation of office workstations and partitions

2. Eligibility Requirements

Interested vendors shall submit the following documents:

Mandatory Documents

Application letter expressing interest.

Company profile indicating areas of specialization.

Certificate of Incorporation or Business Name Registration.

Valid Tax Clearance Certificate for the last year (where applicable).

Evidence of physical business address.

Company bank details and banker’s reference letter.

Valid means of identification of a company representative.

Technical Requirements

Catalogue or brochure of products offered.

Evidence of at least three similar contracts completed within the last two years.

Reference letters from previous clients.

Warranty policy for supplied products.

Evidence of after-sales support and maintenance capability.

List of key personnel and technical staff.

 

3. Evaluation Criteria

The evaluation of submissions will be based on the following criteria:

Product quality and specifications                                =       25%

Financial and operational capacity                                =       15%

After-sales service and warranty arrangements         =       15%

Client references and past performance                      =       10%

Compliance with submission requirements                 =        5%

4. Submission Guidelines

Interested firms should submit their Expression of Interest clearly indicating the category or lot for which they are applying.

The submission package should contain:

• Cover letter.
• Completed EOI documentation.
• Supporting documents.
• Product catalogues and brochures.

The envelope or email subject should be clearly marked:

“Expression of Interest for Supply of Office Furniture, Equipment and Accessories – Lot No. [Specify Lot]”  

5. Submission Deadline

All submissions must be received no later than [10th June 2026, 5:00PM].

Late submissions will not be accepted. 

6. General Conditions

• Submission of an EOI does not constitute a commitment on the part of the organization to award any contract.
• The organization reserves the right to verify any information provided by applicants.
• Only shortlisted vendors will be invited to participate in subsequent procurement processes, including Requests for Quotations (RFQs), Invitations to Bid (ITBs), or Requests for Proposals (RFPs).
• The organization reserves the right to accept or reject any application without assigning reasons. 

7. Safeguarding 

The organization maintains a zero-tolerance policy towards fraud, corruption, bribery, collusion, exploitation, abuse, and all forms of unethical conduct. Vendors found to be engaging in such practices will be disqualified and may be reported to the relevant authorities.
